2012 Dues Invoices
The annual
Hawthorn of Aurora dues invoice will be going out sometime during
the last week of January. Invoices will be sent to your email
address, if you have opted for email delivery. Otherwise, they will
be sent via US Mail to your home. Please note: The mailing
address for checks has changed. If you use your bank's online
billpay to pay your HOA dues, you will need to update the mailing
address to the following address, if you have not already done so:

Changes to Hawthorn of Aurora Management Functions
All residents with email access should have
received an email outlining changes related to the management of the
Hawthorn of Aurora Homeowners Association.
Effective, January 1, 2012, the trustees
have
contracted with KareCondo, a property management company located in
Stow, Ohio. The contract with KareCondo covers two areas of
management of the association:

Billing and collection of annual dues
·
Clubhouse reservations and management
The change has come about due to a natural
evolution in the management of the association. After repeated
attempts to find a volunteer to manage the clubhouse reservations
process, we found no one willing to take on the responsibility as a
volunteer. The existing trustees decided to evaluate alternatives,
including hiring a professional management company to perform this
function. In addition, we asked the firms contacted to bid on
managing our annual billing and collections of dues. After
soliciting proposals from 6 property management companies, we have
selected KareCondo. Their qualifications and experience is
outlined on their website,
www.karecondo.com.
Please understand that these are the only areas
being outsourced at this time. The remainder of the
responsibilities associated with running the association will
continue to be provided by the current trustees and other
volunteers. These include the following areas of responsibility:
· Facilities
Management of all the facilities (clubhouse, pool building,
pavilion, boat docks, tennis courts, pavilion, playground, etc.)
·
Treasurer responsibilities for

Annual budgeting for the association

Regular bill payment to vendors
-
Monthly Treasurer report and bank statement
reconciliation
-
Coordination/ communication with title
companies when homes are sold
-
Interface with legal authorities related to
delinquent dues

Creation of annual report to residents
· Pool
management and interface with Metropolitan
· Lake
management

ALA
liaison for lake management

Boat
dock rentals, management and installation/ removal

Boat
sticker administration

Please read below for further detail on how the
changes to the two areas being outsourced may affect you and your
dealings with the association
Billing and Collection of Annual Dues
·
Your invoice will come to you as it has
in the past, via email or US Mail, depending on your preferred
method of delivery. The same/ similar invoice will be sent in a
PDF format to all residents. If you receive your invoice via email,
it will be sent from the following email address: rlindeen@karecondo.com.
You should take appropriate steps to assure that emails from this
email address do not end up in your spam account. It you receive it
via US Mail, it will come to your home mailing address.

THE MAJOR CHANGE IS THAT YOUR
PAYMENTS WILL NOW HAVE TO BE MAILED TO A NEW ADDRESS. If you use
online billpay with your bank, please update the mailing address for
payments to the following mailing address:

Please DO NOT hand deliver payments to
trustees ---- or -----put in anyone’s home mailbox --- or --- mail
to the existing PO BOX in Aurora. Doing so will only serve to make
the process more complicated and elongate the time required to
credit your account. All payments must go through KareCondo to be
properly accounted for.

KareCondo will collect the payments,
apply the payments against individual accounts and deposit them in
our bank account. They will supply information related to this
activity to Treasurer of the association on a regular basis.
·

Clubhouse/ Pavilion Reservation and
Management
·
Clubhouse reservation requests can still
be made online via the Hawthorn of Aurora website at
www.hawthornofaurora.com/calendar.htm or by calling Ron Lindeen,
at 330-688-4900 or emailing him at
rlindeen@karecondo.com.
·
The clubhouse calendar will still be
available online via the Hawthorn of Aurora website at
http://calendar.yahoo.com/hawthornaurora
·
Contract for rental of clubhouse and/ or
usage of the pavilion can still be printed out via the Hawthorn of
Aurora website at from the “Clubhouse/ Pavillion Calendar and
Reservation” page or will be emailed or sent via USPS to you from
KareCondo.
·
Payments made after January 1, 2012,
for rental and cleaning fees must now be mailed to the following
address. Please note on your check that payment is for clubhouse
rental/ cleaning/ lifeguards, etc.

Any questions regarding clubhouse rental
or pavilion reservations should be directed to Ron Lindeen via phone
and/ or email noted above.

Access to the clubhouse will be provided
via the lockbox that is now installed outside the door to the
clubhouse. The code will be changed regularly.

As many of you know, we no
longer have an editor for our newsletter. In the past, the
newsletter came out quarterly and really was not the “best” timely
vehicle to communicate information. In an effort to replace our
newsletter, and provide a more timely vehicle for communication, we
have created a Facebook Page for “Hawthorn of Aurora”. So, all you
FB users, please go to our page by clicking on the following

Once you have "liked" our page, you will be able to post news, invites, photos and
other information for other residents. If we
get enough users, this has the potential to be a viable “community
bulletin board” for people to post information for all other

still get relevant emails, that are forwarded to all residents.
